CLINICAL TRIAL VISIT ASSISTANT PRIVACY POLICY

Clinical Trial Visit Assistant (“CTVA”) is provided by Sterling Audit Health LLC (“Sterling,” “we,” “us,” or “our”). This Privacy Policy explains how information is accessed, processed, used, stored, and protected when you use Clinical Trial Visit Assistant.


1. PURPOSE OF THE APP


Clinical Trial Visit Assistant is designed to support adult users with clinical-research and clinical-trial visit workflows, including study and visit organization, schedules, tasks, reminders, subject-related workflow information, and related research activities.


CTVA is not intended to provide emergency medical services, make medical diagnoses, prescribe treatment, or replace the judgment of qualified healthcare or clinical-research professionals.


The app is intended for users age 18 and older.


2. INFORMATION PROCESSED BY CTVA


Depending on the features used, CTVA may process information that a user enters, views, or makes available to the app, including:


• Clinical trial or research study identifiers

• Visit schedules, dates, and appointments

• Subject or participant codes or identifiers

• Research workflow tasks and reminders

• Study-related notes and status information

• User preferences and app settings

• Other information entered by the user for clinical-trial workflow purposes


Users should only enter information that they are authorized to use and should follow all applicable study protocols, organizational policies, privacy requirements, and research-governance requirements.


The current Android release does not require creation of a CTVA user account or sign-in credentials to access the app.


3. HEALTH AND CLINICAL-RESEARCH INFORMATION


Because CTVA supports clinical-trial and human-subject research workflows, information used within the app may relate to clinical research, study participation, or healthcare activities.


CTVA is designed to support research workflow organization and is not intended to use health information for advertising, marketing profiling, or unrelated commercial purposes.


Sterling does not sell personal or health-related information processed through CTVA.


4. VOICE FEATURES AND MICROPHONE ACCESS


CTVA may provide optional voice-command functionality.


If a user activates a voice feature, microphone access may be requested so that spoken commands can be converted into actions or text. Microphone access is intended only for user-initiated voice functionality and is not intended for background surveillance or advertising.


Speech recognition may rely on operating-system or device services. When an external device or platform service processes speech, that service may process information according to its own privacy practices.


Users may use supported non-voice functionality without intentionally activating voice commands.


5. NOTIFICATIONS AND REMINDERS


CTVA may request permission to display notifications so that users can receive visit reminders, task reminders, alerts, or other workflow notifications.


Notification permission is used for CTVA functionality and is not used for advertising.


6. ADVERTISING AND TRACKING


The current Android release of CTVA does not use the Android Advertising ID.


CTVA does not use personal or clinical-research information for third-party behavioral advertising.


CTVA does not sell user information to advertisers.


7. PAYMENTS AND ACCOUNT ACCESS


The current Android release does not require a username or password to access the app and does not require a payment, subscription, membership, or free-trial sign-up to access its current functionality.


If these capabilities are introduced in a future version, this Privacy Policy and the applicable app-store disclosures will be updated before those practices are represented as current practices.


8. HOW INFORMATION IS USED


Information processed by CTVA may be used only as reasonably necessary to:


• Provide requested app functionality

• Organize clinical-trial visits and research workflows

• Display study, subject, visit, task, and reminder information

• Respond to user-initiated commands

• Maintain app preferences and settings

• Improve reliability, security, accessibility, and performance

• Diagnose technical problems

• Protect the app and users against misuse or security threats

• Comply with applicable legal or regulatory obligations


We do not use clinical-research information for unrelated advertising purposes.


9. DATA SHARING


Sterling does not sell information processed through CTVA.


Information may be disclosed only when reasonably necessary:


• To service providers acting on our behalf to operate or secure an enabled feature

• To platform or operating-system services when required to perform a user-requested function

• When directed or authorized by the user or the organization responsible for the relevant research activity

• When required by applicable law, regulation, legal process, or valid governmental request

• To protect the rights, safety, security, or integrity of users, Sterling, or others


Service providers are expected to process information only for the purposes for which access is provided.


10. DATA STORAGE, RETENTION, AND DELETION


CTVA may store information on the user's device as necessary to provide app functionality.


Information is retained only for as long as reasonably necessary for the purpose for which it is processed, to maintain app functionality, to satisfy authorized organizational requirements, or to meet applicable legal, security, or regulatory obligations.


Users can remove locally stored CTVA application data through available app or Android device controls, including clearing application storage or uninstalling the app.


If information associated with CTVA is held by Sterling or a service provider on Sterling's behalf, users may contact Sterling to request deletion where applicable. Requests may be subject to legal, regulatory, contractual, clinical-research, security, or record-retention requirements.


11. DATA SECURITY


Sterling uses reasonable administrative, technical, and organizational safeguards designed to protect information from unauthorized access, alteration, disclosure, loss, or misuse.


Where information is transmitted electronically to Sterling systems or service providers, appropriate secure transmission methods are used where supported and applicable.


No electronic system can be guaranteed to be completely secure, and users are responsible for maintaining appropriate security for their devices and access credentials used with related services.


12. CLINICAL-RESEARCH RESPONSIBILITIES


CTVA is a workflow-support application. Investigators, research organizations, sponsors, sites, healthcare organizations, and individual users remain responsible for determining what information they are authorized to enter or process and for complying with applicable research protocols, informed-consent requirements, institutional policies, privacy laws, and regulatory requirements.


CTVA does not independently authorize access to protected research or healthcare information.


13. CHILDREN'S PRIVACY


CTVA is intended for adult users age 18 and older and is not directed to children.


Sterling does not knowingly design CTVA to collect personal information directly from children through child-directed use of the app.


14. CHANGES TO THIS PRIVACY POLICY


We may update this Privacy Policy when CTVA features, data practices, legal requirements, or platform requirements change.


When material changes are made, the effective date above will be updated and the revised policy will be made available through the appropriate Sterling Audit Health or CTVA privacy-policy location.
